This privacy policy sets out how I, Hayley Clark (the ‘data controller’), use and protect any information that you give to me as a part of my counselling service.
I am committed to ensuring that your privacy is protected. You can be assured that any information that I ask you to provide will only be used in accordance with this privacy statement.
Website terms & conditions
Enquiries submitted through my Email Contact Form are passed on to me by WebHealer, the web host which manages this site. All enquiries/correspondence is sent directly to me by email and then deleted from WebHealer's systems . It is retained by WebHealer only until they are confident that the message has been successfully delivered. No data is passed on to third parties. The Email Contact Form only captures an enquirer's name and email address along with the IP address of the computer used to make the request. No cookies are captured. Some statistical data regarding visitors' activity and patterns of usage may be collected by the web host (WebHealer) and is thus subject to their own Privacy Policies. This collection and use of data is to help me to find out how my website is performing, as well as where it could do better. This does not identify any individual.
For your convenience, my website may contain hyperlinks to websites operated by third parties. When you click on one of these hyperlinks, you will be transferred from my website, governed by this privacy statement, to a third-party site which may have different privacy policies in place. You should review the privacy policies of these third-party sites, before providing any personal information on their websites.

What do I use it for?
• To ensure that I can provide you with the professional counselling service requested - an appropriate service based on an understanding of your needs/preferences
• To manage the service I provide to you
• To maintain/ensure the accuracy of my records
• To administer my service e.g. to respond to any enquiries you make/make practical arrangements regarding your appointments
• To protect you and other people if at risk of harm
Will I share your data and if so, who with and for what purpose?
I recognise that the information that you provide may be sensitive and I will respect your confidentiality. I will not share your personal information with any third parties except for in the circumstances outlined below in which it may be necessary to share this information:
• With the police/courts if legally required to do so by any court or law
• With the relevant authorities e.g. your GP/the police as part of my duty to protect yourself or another person who I feel may be at risk of
harm
How do I store your data?
All paper records are stored securely in locked filing cabinets. Mobile phone numbers are stored on my business phone which is password protected. Unfortunately, the transmission of information via the internet is never completely secure. Although I will do my best to protect your information, I cannot guarantee the security of your data transmitted to me via email; any transmission is at your own risk. Once I have received your information, I will use strict procedures and security features to try to prevent unauthorised access. Your identifiable personal information is kept separately from any session notes. Client notes and other documentation are destroyed/shredded 6 years after the end of counselling in line with the terms of my professional indemnity insurance.
Controlling your Personal Information
You may request to see details of personal information which I hold about you under the Data Protection Act 1998. You may also request to have your personal information deleted. In this case, I will take reasonable measures in order to do this (unless I am required to keep this information for legal reasons).
If you believe that information I hold about you is incorrect or out of date, or if you have any concerns about how I am handling your information, please discuss these concerns with me. Changes to my Privacy Notice
I keep my Privacy Notice under regular review. This Privacy Notice is effective as of 19th May 2018.
